A move-in inspection is only useful if the tenant agrees with it. Walk the unit together, record condition on each line, note anything already damaged, and both sign and date it. Give the tenant a copy the same day.
A move-in report the tenant never saw is close to worthless in a deposit dispute.
Photograph everything
Photograph each room wide, then close up on anything already worn or damaged. Date-stamped photographs attached to the checklist are what make a later deduction a documented fact rather than a claim.
Frequently asked questions
Is a move-in inspection legally required?
Some states require a written condition statement at move-in; many do not. It is strongly advisable in every jurisdiction because deposit deductions depend on it.
What counts as normal wear and tear?
Deterioration from ordinary use — faded paint, minor carpet wear, small nail holes. Damage beyond that is generally deductible. Your move-in record is what establishes the difference.
